Cost Worksheet Document Window


This document window shows the contracts, purchase orders, invoices, proposed changes, changes, trends, and requisitions linked to the selected cost code.

This window tracks the Estimated, Budgeted, Committed, and Actuals categories of cost information. Click the tabs available in the window to track each category. For a complete description of the fields in each category, refer to the Cost Worksheet Log Window.

Note: You can customize cost codes by Define Cost Codes and Add a Cost Code to the Cost Worksheet.

Buttons, Drop-Down Lists, Icons, and Links:

Edit Cost Code

Click to edit the document.

This displays when you open a document in View mode. If the document is already in Edit mode, Edit Cost Code does not display.

Spelling

Click to spell check the document.

This displays when you are in Edit mode.

Print Form

Click to print a form.

Print Preview

Click to display the page that will be printed.

Select an action

Click to display the list of actions you can perform on the current window.

Transmittals Queue

Click to display the items in the Transmittals Queue. From there you can select the create or remove functions that you want to perform on a transmittal.

User Productivity Kit

Click the User Productivity Kit link to launch the User Productivity Kit (sold separately), which you can use to view context-sensitive tutorials specific to the page you are viewing.

The Applicable Content checkbox will be marked. If specific tutorial content exists, select the appropriate link to display it. If specific tutorial content does not exist, clear the Applicable Content checkbox to choose from the list of available general tutorials.

Cost Worksheet Log

Click to return to the log window.

Control Center

Click to return to the Workspace.

General tab:

Cost Code

The cost code this item is costed to.

Title

The name of the item.

Estimated tab:

Type

The document type.

Procurement Item

The title of the procurement item if the document was created from a procurement item.

Click to open the Procurement Item Document Window.

Contract

If this procurement item has been awarded, this is the contract or purchase order resulting from that award.

Procurement Estimate

The total of the Estimate column on the Bid Tabulation tab of the Procurement Item document window.

Original Estimate

The original estimate of the procurement item up for bid.

Estimate Accuracy

Original Estimate minus Procurement Estimate

Estimated Gross Profit

Original Budget minus Original Estimate

The value will be blank unless the item is awarded.

Buyout

Original Estimate minus Original Commitment

The value will be blank unless the item is awarded.

Purchasing Buyout

Procurement Estimate - Original Commitment

The value will be 0 unless the item is awarded.

Budgeted tab:

Documents on this tab display the original budget amount, approved revisions to the budget, revised budget amounts, pending budget revisions, estimated revisions to the budget, and the projected budget.

Type

The document type.

Contract

The contract associated with the costed line item.

Date

The date the line item was costed.

Item

The costed line item's number.

Original Budget

Costs that have been distributed from a contract, purchase order, or trend.

Approved Revisions

Costs that have been distributed from an approved change order or trend.

Pending Revisions

Costs distributed from a proposal, a pending change order, or trend.

Estimated Revisions

Cost estimates distributed from a trend.

Adjustments

Costs distributed from a trend.

Committed tab:

Documents on this tab display the original commitment amount, approved revisions to committed costs, revised commitment amounts, pending revisions to committed costs, estimated revisions to committed costs, and the projected commitment.

Type

The document type.

Contract

The contract associated with the costed line item.

Date

The date the line item was costed.

Item

The costed line item's number.

Original Commitment

Costs distributed from a contract, purchase order, or trend.

Approved Revisions

Costs that have been distributed from an approved change order or trend.

Pending Revisions

Costs distributed from a proposal, a pending change order, or trend.

Estimated Revisions

Cost estimates distributed from a trend.

Adjustments

Costs distributed from a trend.

Actuals tab:

Documents in this section display information about money you paid and received.

The documents in the Actuals section may also show the variance between budgeted and committed costs as calculated by Contract Management. Variance categories include the original variance, approved variance, pending variance, and projected variance.

Type

The document type.

Contract

The contract associated with the costed line item.

Date

The date the line item was costed.

Item

The costed line item's number.

Actuals Received

Costs distributed from a trend or invoice (if the contract/purchase order is distributed to Committed).

Actuals Issued

Costs distributed from a trend or invoice (if the contract/purchase order is distributed to Budgeted).

Pending Budgeted Actuals

Costs that have not been approved and are distributed from a payment requisition or invoice linked with a budgeted contract

Approved Budgeted Actuals

Approved cost distributed from a payment requisition or invoice linked with a budgeted contract

Pending Committed Actuals

Costs that have not been approved and are distributed from a payment requisition or invoice linked with a committed contract or purchase orders

Approved Committed Actuals

Approved cost distributed from a payment requisition or invoice linked with a committed contract or purchase orders

Original Variance

Original Budget minus Original Commitment

Approved Variance

Revised Budget minus Revised Commitment

Pending Variance

(Revised Budget plus Pending Budget Revisions) minus (Revised Commitment plus Pending Commitment)

Projected Variance

Projected Budget minus Projected Commitment

Details tab:

Order Code

Use this field to vary the sort order of your worksheet from the cost code order.

Planned to Commit

This is the total planned expenditure for each cost code.

Description

A brief description of the item or service.

Attachments tab:

Attach File

Click this to open the Attach File Dialog Box to add an attachment to this invoice.

Attach from Repository

Click to attach a document from the content repository. These documents are external to Contract Management, and are not part of the documents created in Contract Management. This link will not display unless the Contract Management administrator set the project content management properties to use the repository. See Configure the Content Management Version Document and Attachment Feature for more information.

Attach URL

Click this to attach a web address to the document. You can also launch an attached document or URL in its native application or delete an attachment.

Note: If you are using Firefox, and if the Attachment Storage Type for the project is set to File Server in the Contract Management Administration application, then you cannot attach files while the I am currently connected to the file server option in the User Settings dialog is selected. To open the User Settings dialog, navigate to the Control Center, right click All Projects, and then click User Settings.

Attachment

The name of the attachment associated with this item. Click to open the attachment.

Subject

A brief description of the item.

Location

The location to which the file is uploaded.

Note: If you get an error message indicating file not found, make sure the virtual directory specified in the Contract Management Administration Application is mapped correctly.

Path

The full path to the file.

File Size

The size of the attached file.

Date Attached

The date the file or link was attached.

Attached By

The user who attached the file or link.

To access this document window:

  1. Expand the Contract Information folder in the Project View and click Cost Worksheet.
  2. From the Cost Worksheet Log Window, either open a document or click Add Cost Code to create a new cost worksheet.
