Distribution Lists - Project Companies Dialog Box


Use this dialog box to Create a Distribution List, and add or delete contacts from the list. Distribution lists enable you to combine contacts into a group so that you quickly select the whole group at one time for distributing documents, instead of having to select the contacts individually every time you want to distribute a document.

Note: This help topic applies to both distribution lists dialog boxes.

Buttons, Icons and Links:

Add

Click to open the second distribution lists dialog box to create a new distribution list.

Edit

Click to view information on contacts in a distribution list.

Save

Click to copy the distribution list and save it under a new name. The original list is unchanged.

Delete

Click to remove a list.

Add Distribution Lists/Edit Distribution Lists dialog box:

If you click Add on the initial Distribution Lists – Project Companies dialog box, the Add Distribution Lists dialog box displays. If you click Edit , the Edit Distribution Lists dialog box displays. The fields are the same on either dialog box.

Abbreviation

Enter a unique name for the distribution list, using up to 12 alphanumeric characters. You must enter a value in this field to create a new distribution list.

Title

The name of the item.

Select

Click to open the Select Contacts Dialog Box to add contacts to the distribution list.

Name

The name of each item or contact.

Company

The contact's company.

How to access this dialog box:

  1. Expand the Project Information folder in the Project View and click Companies.
  2. Click Define Distribution Lists from the Company Log Window.
