Access Template – Edit Window


Use this window to edit an access template. An access template is a collection of security settings that you can assign to users quickly, instead of having to assign access rights every time a user is added. An access template acts as a holder for security settings. You can assign users a different access template for each project, but only one access template can be assigned per project.

For example, if you want a group of users to have the same permissions to a particular database and module, create an access template with the desired permissions, then assign the template to the users. This will assign the permissions to all the users at once, instead of having to configure each user independently.

Note: Project rights override the rights of an access template. For example, when you assign an access template to a user, the user inherits the permissions contained in that template. However, any permissions assigned to the user at the project level via the User Project Access Dialog Box will override the settings in an access template.

Template

The name of the template.

Module Template Access rights:

Use this section to set access rights on each module for this access template. Select the module for which you want to set access rights. Select the appropriate options for the access rights you want to set for each module for this user. This controls access to all modules that are available from the project tree.

View

Select this option to enable the users assigned to this access template to view documents from the module.

Add

Select this option to enable the users assigned to this access template to view documents from the module.

Edit

Select this option to enable the users assigned to this access template to edit information for the module.

Export

Select this option to enable the users to export from the module. If the user does not have export rights, Contract Management removes all e_reports from the report list when a user selects a .PBL file.

Delete

Select this option to enable the users to delete documents in this module.

Change Management Module Template Access rights:

Use this section to set access rights for the Change Management module for this access template. Select the appropriate access options.

View

Select this option to enable the users assigned to this access template to view documents from the module.

Add

Select this option to enable the users assigned to this access template to view documents from the module.

Edit

Select this option to enable the users assigned to this access template to edit information for the module.

Export

Select this option to enable the users to export from the module. If the user does not have export rights, Contract Management removes all e_reports from the report list when a user selects a .PBL file.

Delete

Select this option to enable the users to delete documents in this module.

Set Access For All Modules

Click to open the Module Access Dialog Box, where you can set a user's access rights for all modules at one time.

Reject/Close Change Management

Select this option to authorize users to reject or close Change Management documents; these users also require Edit access to the Change Management module.

Copy Commitments to Budget

Mark to authorize the user to add up commitments items from the Change Management Commitments section and generate a document in the Change Management Budget section.

Edit Original Estimate

Mark to authorize the user to edit the original estimate for a procurement item.

Apply/View Markup

Mark to authorize the user to apply markup to documents. It also enables the Markup feature for the Project Settings dialog box, contracts, purchase orders, and change orders. If this option is cleared, the Markup option will not appear in the Select an action drop-down list for those modules.

Update Submittals From Schedule

Select this option to enable the user to get submittal schedule information from a P6 EPPM project.

Approval:

Use this section to select the documents the users assigned to the access template can approve and, for some, define the limit beyond which they may not approve. The users also require Edit access to the modules.

Contracts

Select this option to authorize users to approve contract documents that have accepted dates.

In the Limit: field to the right, enter the limit beyond which the user may not approve.

Purchase Orders

Select this option to authorize users to approve Purchase Order documents that have accepted dates.

In the Limit: field to the right, enter the limit beyond which the user may not approve.

Change Orders

Select this option to authorize users to approve change orders.

In the Limit: field to the right, enter the limit beyond which the user may not approve.

Requisitions

Select this option to authorize users to approve and certify requisitions.

In the Limit: field to the right, enter the limit beyond which the user may not approve.

Daily Reports

Select this option to authorize users to approve daily reports.

Meeting Minutes

Select this option to authorize users to approve meeting minute documents.

Requests

Select this option to authorize users to approve requests.

Procurement

Select this option to authorize users to approve procurement documents.

Template Users:

Use this section to assign users to the access template.

Add

Click to open the Select User Dialog Box, in which you can add users to the access template.

Add All Users

Click to add all Contract Management users to the template automatically.

Remove Disabled Users

Click to remove users from this template whose accounts have been disabled (by selecting the Disable this User Account option in the User Account window).

Update Users

Click to update users with changes. All users with this access template will be updated.

User

A list of users assigned to the access template.

Save and Close

Click to save your changes and close this window.

Save and Edit Next

Click to save your changes and edit the next access template.

How to access this window:

  1. In the Contract Management Administration Application, click Access Templates.
  2. Click Edit next to one of the templates.
